What does an accessible group travel planner actually do?

We coordinate every traveler's needs from one place. That means collecting each person's accessibility, dietary, and mobility requirements before anything is booked, verifying room blocks and venues against those requirements, coordinating group dining so everyone eats safely and well together, and acting as the single point of contact for changes so you are not managing a dozen conversations while trying to enjoy the trip.

How large a group can you handle?

We have planned small, intimate family reunions, conferences of 180 or more rooms, and everything in between. The size changes the logistics. It does not change the standard: every traveler's needs are verified before anything is booked.

What if only one or two people in our group have accessibility needs?

Then those needs go into the itinerary at the design stage, the same as everyone else's. Nobody has to ask for an exception in front of the group, and nobody ends up managing their own logistics while everyone else enjoys the trip. Accessibility is built in from day one, not added on.

How do you gather everyone's needs without putting anyone on the spot?

Privately. We collect each traveler's accessibility, dietary, and accommodation needs directly, so no one has to explain a diagnosis on a group email thread. The organizer gets a plan that accounts for everyone without needing to know everyone's details.

Can you handle group dining when several people have different dietary restrictions?

Yes, and it is one of the most common situations we plan for. We coordinate group menus, restaurant buyouts, and dietary accommodations so a traveler with celiac disease and a traveler with a nut allergy can sit at the same table with confidence. Do you plan family reunions and multi generational trips?

How far ahead should a group start planning?

Earlier than you would for an individual trip. Accessible room blocks, group dining, and accessible excursions are limited and book quickly, and the more travelers involved, the fewer options that fit everyone. If your dates are closer than you would like, tell us anyway and we will work with the time available.

Do you work with groups outside Florida?

Yes. We are based in Clermont, Florida, and plan group travel for clients nationwide. Most of the coordination happens by video call, phone, or email, whichever works for your group.
