What does planning a group trip with you actually involve?

We coordinate the whole group from one place. That means collecting each traveler's accessibility, dietary, sensory, and mobility needs before anything is booked, confirming room blocks and venues against those needs, arranging group dining so everyone eats safely and well together, and handling every booking, change, and question as your single point of contact. You get one person to call, not a dozen conversations to manage.

Does everyone in the group need an accessibility need for this to make sense?

No. Most groups have one or two travelers with specific needs and a lot of people with none. We plan for all of them at once, so the traveler who uses a wheelchair or eats gluten free is not managing their own logistics while everyone else enjoys the trip. Accessibility is built in from the beginning, not added on for one person.

Do you talk to every traveler, or just the organizer?

Both. The organizer sets the vision and the big decisions, and we gather each traveler's needs directly and privately, so nobody has to explain a diagnosis or a dietary restriction on a group email thread. The organizer gets a plan that accounts for everyone without needing to know everyone's details.

Can a group trip be a cruise, a Disney trip, or a European vacation?

Yes. Group and experiential travel is the shape of the trip, not the destination. We plan wheelchair accessible cruises, Disney and Universal trips, European vacations, and upscale all inclusive stays for groups, with the same verification we apply to an individual booking.

What if several people in the group have different dietary restrictions?

That is one of the most common situations we plan for. We coordinate group menus, restaurant buyouts, and dietary accommodations so a traveler with celiac disease and a traveler with a nut allergy can sit at the same table with confidence. Do you plan family reunions and corporate retreats?

Yes, and they are very different trips. A multi generational reunion usually carries the widest mix of needs in one group: mobility for a grandparent, sensory needs for a child, dietary restrictions for someone in between. A corporate retreat adds venue selection, team activities, and travel logistics for every attendee. Either way, accessibility and dietary needs are verified for each person rather than assumed. How far ahead should a group start planning?

Earlier than you would for an individual trip. Accessible room blocks, group dining, and accessible excursions are limited and book quickly, and the more travelers involved, the fewer options that fit everyone. If your dates are closer than you would like, tell us anyway and we will work with the time available.

Do you work with groups outside Florida?

Yes. We are based in Clermont, Florida, and plan group travel for clients nationwide. Most of the coordination happens by video call, phone, or email, whichever works for your group.
